10 Golden Rules for Event Branding

PRODUCTION METHODS

  • Artwork should be created with a final production method in mind.
  • Different materials require different allowances:
  • Fabric graphics may require stitching margins, vinyl graphics may require panel joins, banners require eyelet spacing, frames require tension allowances.
  • Artwork must match how the graphic will physically be produced and installed.

MEASURE TWICE, CUT ONCE

  • Dimensions Are Critical
  • Never assume that buildings or venues are perfectly symmetrical or level.
  • For example, when installing a floor-to-ceiling canvas wrapped set in a hotel, measure the ceiling height at multiple points. The ceiling may be slightly lower on one side of the room than the other.
  • Best practice: Always take multiple measurements and work from the smallest dimension to ensure the branding fits correctly.

ALWAYS WORK FROM FINAL PRODUCTION SIZES

  • Artwork should always be created at the correct final dimensions or at a clearly defined scale (e.g. 1:10 for very large graphics)
  • Incorrect scaling is one of the most common causes of production errors
  • Rule: Never guess or estimate final sizes.

USE PRINT READY FILE FORMATS

  • For professional print production, the preferred artwork formats are:
  • PDF (print-ready)/ AI (Adobe Illustrator) / EPS (vector artwork)
  • Avoid files created in PowerPoint, Word, or low-resolution JPEGs, as these are rarely suitable for large format printing.

CHECK IMAGE RESOLUTION

  • Images that look good on screen can appear pixelated when printed.
  • Typical guidelines:
  • 300 dpi – small print/ 150 dpi – medium graphics
  • 72–100 dpi at full size – large format graphics viewed
  • Upscaling low-resolution images will not improve quality.

TIME, TIME, TIME

  • One of the most common issues when facilitating print jobs, not having the artwork completed in time, or constant changes being required .
  • We need artwork minimum 8 working days before installation.

INCLUDE BLEED & SAFE MARGINS

  • Bleed ensures graphics print correctly when trimmed.
  • Typical bleed guidelines:
  • 3–5 mm for standard print
  • 10–25 mm for large format graphics
  • 100mm + For canvas wraps
  • Important text and logos should always sit within a safe margin away from edges and trim lines.

 

OUTLINE FONTS, PANTONE & PACKAGE FILES

  • Missing fonts can cause major problems during production.
  • Always ensure: Fonts are outlined or embedded
  • Linked images are included
  • Files are properly packaged
  • This ensures artwork opens correctly across different systems.
  • Print uses CMYK colour, not RGB.
  • Files supplied in RGB (used for screens) may produce unexpected colour shifts when printed.
  • If brand colours are critical, specify Pantone colours where possible.

VISUAL PROOFS & APPROVALS

  • Always Supply a Visual Proof & Approval is essential
  • Before production begins, clients should approve a visual proof showing:
  • Final layout/ Dimensions/ Positioning of graphics
  • Panel splits if relevant
  • This ensures everyone understands exactly what will be produced.
  • This approval protects both the client and the production team from errors and unexpected changes.

POST EVENT

  • Don’t forget – Branding doesn’t get rid of itself.
  • Once the event is done, you will need to remove and dispose of the branding in the appropriate way.
  • There are associated costs with this process and needs to be done in a responsible way.
